In a Certified Scrum Professional – ScrumMaster (CSP-SM) context, facilitation is crucial. It is the process of enabling teams to work together more effectively. Nothing can be more engaging and stimulating than visual facilitation in order to communicate and collaborate. The primary aim is to promote openness, involvement and learning in an interactive way.
Effective visual facilitation increases a team’s ability to solve complicated problems faster and more effectively, fosters collaboration, and enables a greater sense of involvement. In essence, it involves aiding the development of shared understanding by capturing the team’s thoughts visually in real-time. Visual facilitation techniques such as Mind Mapping, Graphic Recording, and Visual Metaphors can significantly enhance the productivity of a collaborative session.
Mind Mapping:
Mind mapping is a highly effective visual facilitation method that can be used for brainstorming during collaborative sessions. It is based on the principle that ideas and details should stem from a central topic. The spatial distribution of information aids in visual cognition, thereby helping to forge links and promote innovative thinking.
Example: Suppose a Scrum team is planning their next Sprint in a Scrum event. Here, a mind map can be used to visually outline the goals of the Sprint, sub-topic branches may represent various User Stories, and from there, details about task breakdowns, responsibilities and requirements can flow.
Graphic Recording:
Graphic recording, also known as sketch noting, is a technique for visually capturing ideas and information. It combines hand-drawn images and text to create a comprehensive visual summary of a discussion or presentation.
Example: During a Scrum retrospective meeting, a ScrumMaster can employ a graphic recorder to visually capture the team’s discussions, feedback and improvement plans. By depicting sprint issues, conclusions and future steps in a visual manner, all team members can have a clear, shared understanding of the meeting outcomes.
Visual Metaphors:
Visual metaphors are images or designs that are used to represent ideas or concepts. They are incredibly useful in visual facilitation as they can make complex or abstract ideas more concrete and easier to understand.
Example: A team is facing issues in dealing with technical debt in their Scrum project. A ScrumMaster can use the visual metaphor of a “broken window” to depict that letting small issues pile up (broken windows) attracts more problems (vandalism) which leads to a deteriorating environment (codebase).
Final Thoughts
Visual facilitation is an incredibly powerful tool for engagement and comprehension. Techniques such as Mind Mapping, Graphic Recording and Visual Metaphors allow for a holistic view of complex issues, generate creative solutions, and ensure shared understanding in a Scrum team.
