Concepts

Whether you are preparing for the Certified Associate in Project Management (CAPM) exam, planning a new initiative, or leading a project within an organization, a stakeholder register is an invaluable tool. It is a document used to identify, assess, and track stakeholders involved in a project or situation.

Identifying Stakeholders:

The first step in establishing a stakeholder register is identifying all potential stakeholders. These can be individuals, groups, or organizations that have an interest or are affected by the project results. Such entities may include project team members, clients, suppliers, regulators, shareholders etc.

Example: Suppose you are leading a project to implement a new software system within your organization. Some of the stakeholders could include the IT department, end-users of the software, the software supplier, and the senior management who approved the project.

Classifying Stakeholders:

The next step in the process is categorizing the types of stakeholders based on their power, interest, and influence over your project. It’s essential as it helps to determine the communication strategies to use to engage with each one.

Example: The IT department would likely have significant power and influence as they will be integral to the successful implementation of the software. The end-users may have less power, but they have a high interest because they will use the software daily.

Assessing Stakeholders:

Now that you’ve identified your stakeholders and their categories, the next step is to assess their expectations and potential impact on your project. Understanding these helps to effectively manage your stakeholders and ensure their needs are met.

Example: Senior management may expect the project to finish under budget and before the deadline. The IT department may expect thorough testing to ensure that the new system integrates well with existing systems. The end-users might expect ample training on the new software system.

Reviewing the Stakeholder Register:

The stakeholder register should be updated regularly or any time a stakeholder’s interest or involvement changes. Stakeholder participation can change as goals or priorities within the project adjust.

Example of a Stakeholder Register

Stakeholders Type Expectations Impact
IT Department High power, high interest Smooth integration Significant
Senior Management High power, low interest Under budget, on time Significant
End Users Low power, high interest Proper training Lesser

By taking the time to create a stakeholder register, you will be better equipped to understand all affected parties, their needs, and how best to engage with them. It is a critical practice to master for the Certified Associate in Project Management (CAPM) exam and in real-world project management. Remember, the stakeholder register is a dynamic document and should be considered a living piece of your project plan. Updating and referencing it regularly ensures that no stakeholder is overlooked, and everyone’s needs are considered carefully.
