Resource requirements is an essential component in Project Management Professional (PMP) and communicating these requirements effectively is crucial for project success.   1. Resource Identification
  2. This step involves identifying all the resources required for accomplishing the project tasks. For example, to build a new software application, you need to identify resources such as software developers, QA engineers, project manager, business analysts, servers, development environments and software technologies (Java, Python, .NET etc).

  3. Resource Estimation
  4. Here, you estimate the quantity or the specific type of resource required. For instance, you may assess that your project requires 5 Java developers, 3 Python developers, 2 .NET developers, 2 QA Engineers, 1 Project Manager and 1 Business Analyst, plus the requisite software and hardware.

  5. Resource Scheduling
  6. This step involves planning when and for how long each resource is needed in the project, all while considering the availability of those resources. For example, Java developers may be needed for the entire project duration while Python developers may be needed only for specific phases. Being attentive to these specifics and communicating them properly is essential.

  7. Resource Procurement
  8. After identifying, estimating, and scheduling resources, you may discover that some resources are not currently available within the organization. In such cases, resources are then procured from external sources. A well-crafted communication plan comes into play here, as you have to communicate these needs to your vendors in an understandable, reliable, and accurate manner.

  9. Resource Assignment
  10. Once all resources are in place, they are assigned to the tasks as per the schedule. Clear and precise communication here is crucial to ensure that everyone knows what they have to do, when they have to do it, and what resources they will have to complete it.

  11. Resource Monitoring and Control
  12. Throughout the project, project managers also need to monitor resource usage to ensure that resources are being utilized as per the plan. Any deviation in resource consumption has to be communicated and addressed early.

PMP aspirants must realize that the process of communicating resource requirements is not a one-time task, but rather an on-going process that continues throughout the lifecycle of the project.

PMP aspirants should aim to understand these nuances to ensure effective communication regarding resource requirements, ultimately leading to increased productivity and successful project outcomes. They should also assure that these communications are well documented for future references and reviews. Thus, effective communication of resource requirements is the cornerstone for any successful project management endeavor.
