Concepts

The advent of digital technology has made it possible for individuals to work together as a team, even though they may be located in different geographical locations. This phenomenon of working remotely in a team is what we refer to as a virtual team. In a bid to have effective project management, especially in situations where team members are distributed across various locations, engaging and supporting these virtual teams becomes essential. Here, we will discuss the methods for engaging and supporting virtual teams, especially with the framework of the Project Management Professional (PMP) certification.

I. Clear Communication

Clear and effective communication is a fundamental part of engaging and supporting virtual teams. It is important to establish a good communication strategy from the onset of the project. A regular communication schedule should be established where project updates, feedback and suggestions can be discussed openly.

For example, a Project Manager could set up a daily conference call where team members can share updates on their individual tasks. This not only promotes transparency, but also helps to build mutual trust and respect among team members.

PMP-certified Project Managers are taught the importance of clear communication in navigating complexity in projects. They are also provided with techniques and tools such as the “Communication Channels formula” which helps in deciding the most effective communication channels based on the number of team members involved in the project.

II. Setting Expectations

Virtual teams may present unique challenges due to the physical and often time zone differences between team members. As a result, it is crucial to set and manage expectations right from the beginning. Clearly defining roles and responsibilities, project goals, scope, deliverables, and milestones will have a great impact on the team’s productivity and overall project success.

A tool such as the RACI (Responsible, Accountable, Consulted, Informed) matrix, a framework commonly taught in PMP Certification training, can be effectively employed to clearly define roles and responsibilities of each team member.

III. Leveraging Technology

There are various digital tools available today for managing virtual teams. Collaboration tools like Slack, Trello, or Asana, and video conferencing platforms like Zoom and Microsoft Teams, can provide seamless communication and project tracking experiences to virtual teams.

PMP training incorporates the understanding and application of Project Management Information Systems (PMIS). This includes technical software for scheduling, databases for project records, automated alert systems for updates and risk assessments, and cloud-based platforms for collaboration. Having this knowledge will be notably beneficial for a Project Manager dealing with virtual teams.

IV. Building Trust and Fostering Good Working Relationships

While virtual teams offer a wide range of benefits, building trust in a dispersed team could present a significant challenge. To overcome this, Project Managers need to foster a culture of trust and respect within the team. Regular virtual team building activities and one-on-one check-ins with the team members can significantly aid in building trust.

V. Recognizing and Rewarding Contributions

Recognizing and rewarding team members for their hard work and significant contributions is an excellent way to keep them engaged and motivated. It could be as simple as giving a public acknowledgment during team meetings or nominating them for a reward on the completion of a project milestone.

In the PMP framework, recognition and rewards form a part of ‘Team motivation’, emphasizing their importance in keeping a project on track.

Conclusion

In conclusion, managing virtual teams requires a certain skillset and strategies that might be different from managing traditional in-person teams. However, with the right approach, which includes using the right tools and techniques taught in PMP certification courses, and giving necessary support to the team members, it is absolutely possible to lead a virtual team to success.
