Concepts

To deliver true value, a Product Owner must effectively engage with stakeholders over multiple Sprints to gather feedback, prioritize backlog items, and steer the project direction. Below are three techniques that A-CSPO can use to interact with stakeholders.

1. Regular Stakeholder Meetings:

Stakeholder meetings are essential to share updates, gather feedback, and negotiate priorities. These meetings should be regular and scheduled, preferably syncing with the Sprint cycle. An example could be a “Sprint Review meeting,” where the Scrum Team demonstrates the product increment produced during the Sprint. Stakeholders provide crucial feedback to the Product Owner. This offers an excellent opportunity to interact with stakeholders and even allow some hands-on experience with the product.

The structure of these meetings might look something like this:

Timing Activity
Start of meeting Clarify meeting objectives
Mid-meeting Present progress & Demonstrate product increment
After demonstration Stakeholder feedback and discussion
End of meeting Clear action points and next steps

2. Direct Communication:

While regular meetings are standard practice, the A-CSPO should ensure they keep open lines of communication with stakeholders to address questions, concerns, or feedback outside structured meetings. Tools such as emails, instant messaging platforms, or corporate social networks can facilitate this. For example, the Product Owner might initiate a chat thread to discuss a new feature request or schedule a quick call to clarify a stakeholder’s feedback around a certain backlog item.

3. Surveys and Feedback Tools:

In an era of digital tools and platforms, gathering opinions and feedback from stakeholders can be easy, fast, and systematic. Using surveys and feedback tools can help gather insights into stakeholders’ priorities and preferences. Tools such as SurveyMonkey, Google Forms, or inbuilt feedback mechanisms in software development platforms can be used. For instance, after each Sprint, the Product Owner could create a quick online survey to collect stakeholders’ views on the new product increment. The results can inform the Product Owner about areas requiring more attention or backlog items to prioritize in the future.

While these techniques aid in efficient stakeholder interaction, an A-CSPO should remember that each stakeholder might have varied communication preferences and adjust their approach accordingly. They should also aim to be transparent, respectful, and receptive to feedback to foster a beneficial relationship with stakeholders.

In conclusion, an A-CSPO’s effective engagement with stakeholders doesn’t stop at simply sharing updates on the Sprints’ progress.

It is about ensuring stakeholders feel heard, their feedback is valued, and their inputs resonate in the product being built. Regular stakeholder meetings, direct communication, and surveys/feedback tools are three significant methods through which an A-CSPO can manage this vital engagement over multiple Sprints.

Great post! Can you explain more about using user story mapping over multiple sprints?

Melco Lima

User story mapping helps to visualize the product backlog in a broader context. It allows stakeholders to see the sequence of delivery and makes it easier to arrange stories in smaller, manageable sprints.

I found user story mapping to be overly complex for my small projects.

It can be complex, but you can scale it down based on the project size. The key is to use just enough mapping to get clarity on the product direction.
