Prerequisites

Before assigning a phone number to a resource account for your Teams environment, ensure the following prerequisites are met:

  • You have administrative privileges to manage Teams within your organization.
  • A resource account is already created within your organization.
  • You have a phone number ready to be assigned to the resource account that is either obtained from Microsoft or transferred from a previous provider to Microsoft.
  • If required, you have the appropriate licensing in place, such as the Phone System Virtual User license or any other license that supports your intended use cases.

Steps to Assign a Phone Number

Acquire or Transfer a Phone Number

First, you must either acquire a new phone number from Microsoft or port an existing number to the Microsoft Teams environment. New numbers can be obtained through the Microsoft Teams admin center.

To acquire a new phone number, navigate to the Teams admin center, then go to Voice > Phone numbers > Add. Follow the prompts to select the country/region, number type, and quantity, and complete the order.

If you want to port an existing number, you need to submit a port order and provide the required documentation for the numbers you want to transfer to Microsoft.

Assigning the Phone Number to the Resource Account

Once you have your phone number, you can assign it to a resource account.

  1. Go to the Teams admin center.
  2. Navigate to Org-wide settings > Resource accounts.
  3. Click on the resource account you want to assign the phone number to.
  4. On the resource account’s details page, click Assign/Unassign next to the phone number option.
  5. Enter the phone number you previously acquired.
  6. Click Apply or Save to assign the phone number to the resource account.

Licensing Requirements

Please check the latest Microsoft documentation for any updates on licensing as they may change over time.

Important Considerations

  • Always verify that the resource account has the appropriate type of license assigned before trying to assign a phone number.
  • Numbers must be in the correct format and should comply with any region-specific requirements.
  • Assignment of a phone number to a resource account is usually almost immediate, but sometimes it may take a while for the number to become operational due to provisioning processes.
  • Unassigning a number from a resource account will free up that number to be assigned to another account or resource.

The successful assignment of a phone number to a resource account will allow for the full use of Teams voice calling features, ensuring that your organization’s workflows run efficiently and that your client communication is streamlined. Keep in mind that the process of managing resource accounts and phone numbers falls within the purview of the MS-700 Managing Microsoft Teams exam, thus understanding these processes is vital for administrators.
